1. Scope
This Privacy Policy applies to information collected through the NEMT OS website, applications, communications, and related services (collectively, the “Services”). It does not apply to third-party websites, products, or services that link to their own privacy notices.
NEMT OS may provide Services to an organization that controls the information entered into its account. In those cases, the organization’s instructions and privacy practices may also apply to that information.
2. Information we collect
Depending on how you use the Services, we may collect:
- Contact and account information: name, business name, email address, phone number, billing details, login credentials, and account preferences.
- Operational information: trip, scheduling, dispatch, driver, vehicle, patient, payer, claims, reporting, and other information entered or connected by a customer.
- Device and usage information: IP address, browser and device type, approximate location derived from IP address, pages viewed, referring pages, timestamps, and interaction information.
- Communications: information you provide when requesting a demo, contacting support, responding to a survey, or communicating with us.
We may collect information directly from you, automatically through the Services, from your organization, or from service providers and integrations used to support your account.
3. How we use information
We use information to:
- provide, operate, maintain, and improve the Services;
- create and administer accounts, process payments, and provide support;
- send service notices, security alerts, and administrative messages;
- respond to requests, provide product information, and send marketing communications where permitted;
- monitor performance, troubleshoot issues, prevent fraud, and protect the security of the Services; and
- comply with legal obligations and enforce our agreements.
We may use aggregated or de-identified information for analytics, product improvement, benchmarking, and other lawful business purposes. We do not use Customer Data to make decisions about a person’s eligibility for medical care or transportation.
5. Health and sensitive information
NEMT OS may process information that a customer enters or connects to support its transportation operations. A customer is responsible for determining whether information is protected health information or otherwise regulated, for configuring the Services appropriately, and for meeting its notice and authorization obligations.
Where applicable, the parties may enter into a separate Business Associate Agreement or other data protection agreement. That agreement controls if it conflicts with this Privacy Policy for the covered information and services.
7. Your choices and rights
You may update certain account information through the Services or by contacting your organization’s administrator. You can opt out of promotional emails by using the unsubscribe link in the message. You will continue to receive transactional and service-related communications.
Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. To make a request, contact [email protected]. We may need to verify your identity and may direct requests about information controlled by a customer to that customer.
8. Security and retention
We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
We retain information for as long as needed to provide the Services, meet contractual and legal obligations, resolve disputes, enforce agreements, maintain business records, and support legitimate business purposes. Retention periods may vary by the type of information and the customer’s instructions.
9. Children’s privacy
The public website and Services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information directly from children through the public website. If you believe a child has provided information to us, contact us so we can review and address it.
10. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will post the updated policy and provide additional notice when appropriate. The “Effective” date above shows when this version became effective.
